Custom PDF/DOCX templates

Already have a quote document you love — your own layout, your own wording? Upload it as a Word (.docx) or PDF file and Setell keeps it on the template, ready for the render step.
Upload is live; rendering through your file is not yet. Today Setell stores your document against the template and shows you the placeholders it will support. It does not yet produce your quotes through that file — quotes still go out on Setell's own layout with your logo, colour, and letterhead (docs/branding/letterhead). Upload now if you want your document on file; don't retire your existing paperwork process on the strength of it.
This is a Pro feature. Uploading your own quote document needs a Pro plan. The built-in templates and branding (logo, color, letterhead) work on every plan.
Before you start
- A Setell Pro plan.
- Your quote document as a
.docxor.pdffile, under 10MB. - A template to attach it to (see
docs/branding/templates).
Steps
- Open Templates and click the template you want to attach the file to.
- Scroll to Quote Document Template.
- Click Upload your .docx or .pdf quote template and pick your file.
- The file shows as attached, with its type and name. To swap it, click Remove and upload again.
Filling in your details automatically (.docx)
A Word file is where your quote data will be dropped in once rendering ships. Prepare for it now: where you want a value filled in, type a placeholder like {{customer_name}} in your document. Click All available placeholders under the upload box to see the full list. The common ones:

What happens next
- The file is stored against this template and the placeholder list is checked. Quotes still go out on Setell's own layout with your logo, colour, and letterhead — rendering through your file hasn't shipped yet.
- The file lives on this one template — other templates keep their own look.
- You can remove or replace the file anytime from the same spot.
Troubleshooting
- "Custom PDF templates require a Pro subscription." This feature is Pro. Upgrade from Settings → Billing, then upload again.
- "Unsupported file type." Only
.docxand.pdfwork. Export your document to one of those and retry. - "File too large (max 10MB)." Trim images in your document or save it smaller, then upload again.
- Nothing about my quotes looks different after uploading. Expected — rendering through your file isn't live yet. Your document is on file for when it is. Placeholders only ever fill in
.docxfiles, and the spelling has to match exactly —{{total}}, not{{Total}}. Check the All available placeholders list. - Still stuck →

FAQ
- Word or PDF — which should I use? Use
.docxif you want Setell to auto-fill your customer and line-item details when rendering ships. A PDF will be used as-is. - Does this replace my logo and color? No — those are separate (see
docs/branding/letterhead), and they're what your quotes carry today. The uploaded document is intended to control the layout once rendering ships. - Can different templates have different documents? Yes. The file is per template.
- What if I don't upload one? Quotes use Setell's clean built-in layout with your logo and color — which is what every quote uses today, uploaded document or not.
