Job statuses explained

Overview

Every job in Setell carries a status — a colored badge that tells you, at a glance, where the deal stands. There's one job per request, and it moves from one status to the next as you and your customer act. This page is the plain-English meaning of each badge.

One job, one history. Setell never makes a duplicate job for the same request — the status just changes as the deal moves.

The statuses

BadgeWhat it meansWhat moves it forward
NewThe job exists. No quote yet.You draft a quote (or Boxx does).
DraftingA quote is being written. The draft finishes → Awaiting Approval.
Awaiting ApprovalThe quote is ready for you to review before it goes out.You send it to the customer.
SentYour customer has the quote and can open it.They approve, ask for changes, sign, or pay.
RevisingYour customer asked for changes. You revise → a new version → send again.
WonYour customer approved the quote.Move to signing or invoicing.
SignedThe contract was signed in the Deal Room.Create the invoice.
InvoicedThe invoice is created (and synced to QuickBooks if connected).Your customer pays.
PaidPayment came in.Archive it when you're done.
RejectedYour customer declined this quote.Revise it to reopen the deal, or leave it.
ArchivedThe job is finished and filed away.— (you can restore it later).
The badge says Won for an approved job — same thing as "accepted." It's the word you'll see on the card.

How statuses move

  • A job only moves to the next sensible status — Setell won't let a New job jump straight to Paid.
  • You can Archive a job from almost any status when you're done with it. Archived jobs aren't deleted — they're filed, and you can restore them.
  • A Rejected job isn't a dead end. Revise the quote and it goes back to Revising so you can keep the conversation going.

Where you see them

  • On the Jobs list — the badge sits next to each job.
  • On the job's own page — at the top, with the buttons for the next step right beside it.
  • In Boxx — ask "what's stalling?" and Boxx reads the same statuses.

Troubleshooting

  • A job is stuck on Sent. That's normal — it stays Sent until your customer acts. If it's been a while, send a nudge (a short follow-up) from the job page.
  • Status didn't change after my customer approved. Approving, signing, and paying happen in the Deal Room and update the job within seconds. If it's lagging, refresh the job page. Still stuck → docs/reference/troubleshooting.
  • I see "Won" and expected "Accepted." Same status — the badge just uses the word "Won."

FAQ

  • What's the difference between Won and Paid? Won means your customer said yes. Paid means the money arrived. A job is usually Won first, then Signed/Invoiced, then Paid.
  • Can I move a job backward? You can revise a Rejected or Sent job back into Revising, and you can recall a sent quote. You can't un-pay a job.
  • What happens when I archive? The job leaves your active list but is kept in full. Restore it anytime.
  • Why don't I see Drafting for very long? Drafting is usually a few seconds while Setell writes the quote — then it flips to Awaiting Approval for your review.
