Recall a sent quote
Overview
Sent a quote with the wrong price, or need to pull an offer back? Recall withdraws it. The customer's link stops working, so they can no longer view or accept that quote, and the job moves back to Revising so you can fix it and re-send. Think of it as taking the offer off the table.
One thing recall can't do: the email already in the customer's inbox can't be retracted. Recall closes the link, not the message.
Before you start
- A quote at the Sent stage.
Steps
- Open the job and click Recall quote.
- Read the confirmation, then confirm Recall quote.
- The job moves to Revising, ready for your changes.
What happens next
- The customer's deal-room link no longer shows the quote — they can't view or accept it.
- The job is back at Revising. Update the quote (which creates a new version), then preview and send again. See
docs/quotes/edit-line-itemsanddocs/quotes/send. - The earlier version is still kept in your history — recall doesn't delete anything.
Troubleshooting
- No "Recall quote" button. Recall is only available while the quote is Sent. If the customer already accepted, signed, or paid, it's past recall — handle it on the phone, then revise if needed.
- The customer already saw the price. That's expected — recall stops them acting on the quote, but it can't un-send the original email. Be upfront and send the corrected version.
- I recalled by mistake. No harm done — the quote is kept. Revise (or just re-send the same version) to put the offer back in front of them.
FAQ
- Does recall delete the quote? No. It closes the customer's access and moves the job to Revising. Your version history stays intact.
- Can the customer still pay an old link? No. Once recalled, the link won't let them view or accept.
- Can Boxx recall for me? Yes — ask Boxx to recall the quote and it does the same thing.
- What's the difference between recall and decline? Recall is you pulling the offer back. Mark Declined records that the customer said no. Different buttons, different meanings.
