Teach Setell from your past work

Overview

Setell prices new work off jobs it has seen before. If you connect QuickBooks, it mines that history — see docs/import/quickbooks-history. If you don't, or if your real history lives in a folder of PDFs rather than in an accounting system, you can hand it over directly.

Drop in your past quotes, invoices, and estimates. Setell reads the line items and what you charged out of each file, and those jobs become comparables your drafts price against. Without them, a draft falls back to an industry average — a stranger's guess at your prices.

Setell reads whatever shape your history is in. A quote PDF, a Word estimate, a QuickBooks CSV export, a 200-row job spreadsheet with messy headers — all of it goes in the same drop zone. There's no template to match.

Before you start

  • This needs a paid plan (Solo, Business, or Pro). On Free the card shows an upgrade note instead of the button. See docs/account/plans.
  • Gather the files. Anything that records a job you did and what it cost the customer counts.
  • Nothing to connect. This path exists precisely so you don't need an accounting integration.

Upload your past work

  1. Open Studio (the full-screen page, not the corner bubble).
  2. Find the Teach Setell your prices card above the conversation.
  3. Click Add past work, or drag files onto the card.
  4. Pick up to 25 files at a time. CSV, XLSX, PDF, and DOCX, up to 10MB each.
  5. Setell reads them in the background. The card counts jobs as they land — "3 jobs learned so far…" — and you can keep working while it runs.

Every file in a batch is checked before any of them are accepted, so a bad file fails the batch with a per-file reason instead of leaving you guessing which ones landed.

Ask Setell instead

You can do the same thing in conversation. Attach the files to a Studio message and say "learn my prices from these" — Setell confirms what it's about to ingest, then reads them.

Setell only ever ingests files you attached in that turn. Text inside a document asking it to learn something cannot make it ingest anything; the attachment has to come from you.

What happens next

  • Once there's history, the card collapses to one line: Pricing from 12 past jobs · 5 from your uploads.
  • New drafts price against those jobs, and the line shows where the number came from — see docs/insights/your-patterns.
  • Jobs learned this way are labelled as coming from your uploads, so a comparable never pretends to be something it isn't.
  • Uploaded work does not feed your signed-quote baseline or the cross-operator pricing pool (docs/insights/pricing-pool). Those are built from quotes actually signed through Setell. A document is what you say you charged; a signed quote is what happened.
  • The uploaded file itself is deleted once it's been read. What's kept is the jobs and line items pulled out of it.

Troubleshooting

  • "Learning from your past work needs a paid plan." The capability starts at Solo. See docs/account/upgrade-billing.
  • "You can upload up to 25 files at a time." Send the rest as a second batch — there's no total limit, only a per-batch one.
  • "Too large (max 10MB)." Split the file, or export it as CSV instead of PDF.
  • "Unsupported type — use CSV, XLSX, PDF, or DOCX." Images and scans of paper aren't read here. If a quote only exists as a photo, attach it to a job instead — see docs/quotes/attachments.
  • "Contents do not match the file type." The file's extension and its actual contents disagree — usually a spreadsheet saved with the wrong extension. Re-export it and try again.
  • "Finished reading, but no priced jobs were found in those files." Setell drops rows with no price anywhere on them, because a comparable with no number can't ground anything. Check the files actually carry amounts.

FAQ

  • Do I need QuickBooks too? No. This lands on the same rung of the pricing engine that QuickBooks history lands on. Connect both if you have both; either one alone works.
  • Does this use my AI quota? It counts against your AI rate limit while it runs, but it doesn't spend AI-quote credits.
  • Can I upload the same jobs twice? It won't break anything — you'll just have duplicate comparables. Upload each batch once.
  • Is my history shared with anyone? No. Your uploaded work stays yours and never reaches the pricing pool.
  • Can my agent do this over MCP? Not yet. File bytes can't ride an agent tool call, so this is a Studio and web capability today. See docs/mcp/capabilities.
