Quote versions & revisions

Overview

When a customer asks for changes, Setell makes a new version of the quote and keeps the old one. The first quote is v1. Change something and you get v2, then v3, and so on — none of them ever overwrite each other. You always have the full paper trail of what you offered and when.

This is the heart of how Setell handles deals: one job, a clean stack of versions, never a pile of duplicate quotes.

How a revision happens

A new version is created whenever the quote changes:

  • You edit it. Editing line items and saving creates the next version. See docs/quotes/edit-line-items.
  • You ask Boxx. "Drop the rush fee and add ten more brackets" — Boxx applies the change as a new version. See docs/boxx/draft-and-revise.
  • The customer asks for changes. When they request changes from their deal room, the job moves to Revising so you can update and re-send.

Each version records what changed, so the history isn't just a list of numbers — it's a record of the conversation.

What the customer sees

  • The customer's link always shows the latest version. Same link, newest quote — they never get a stale one.
  • Earlier versions stay with you for your records; the customer just sees the current offer.

Steps — revise and re-send

  1. Make the change (edit inline, or ask Boxx). Setell creates the next version.
  2. The new version shows at the top with its v2 / v3 badge.
  3. Preview and send the new version when you're happy with it. See docs/quotes/send.

What happens next

  • The customer opens the same link and sees your updated quote.
  • Your earlier versions remain intact — open the job anytime to see the trail.
  • A version that's already been accepted is locked and can't be edited; if more changes are needed, you start a fresh quote.

Troubleshooting

  • I can't edit this version. It's locked — usually because it was already accepted or has been replaced by a newer one. Locked versions are kept as-is on purpose.
  • The customer says they're looking at the old price. They may be on an old email. The link always points to your latest version — have them reopen it, or send the new version again.
  • I made a change by mistake. The old version is still there. Make another edit to correct it (which creates the next version) — you never lose the original.

FAQ

  • Does Setell ever rewrite a quote from scratch? No. After the first draft, every change is a precise patch that creates a new version. Your original is never thrown away.
  • How far back can I see? All versions of a job are kept — v1 through the latest.
  • Does a revision use up an AI quote credit? No. Only the first draft counts toward your plan limit. Revisions are free.
  • Which version gets invoiced? The one that was accepted. That's the version that flows into the invoice.
