Overview

When you connect QuickBooks, Setell quietly reads your past invoices and estimates and turns them into pricing signal. So instead of guessing on your very first quote, Setell already knows roughly what you charge. This is the fix for the "I'm new to Setell — what does it even know?" gap. It happens automatically in the background — there's nothing to click.

This is a Business and Pro feature. Free accounts can connect QuickBooks after upgrading, and the history mining turns on then.

Before you start

  • QuickBooks connected to Setell (see docs/integrations/quickbooks).
  • A Setell Business or Pro plan.
  • That's it — no upload, no file, no button.

How it works

  1. You connect QuickBooks. Once.
  2. Setell reads your recent invoices and estimates — in the background, on its own schedule. It reads only; it never changes your books.
  3. It learns your pricing from that history and starts using it as signal on new quotes.
  4. Your quotes start smart. When you (or Boxx) draft a new quote, Setell can lean on what similar past jobs went for.

What to expect

  • It's read-only. Setell looks at your invoices and estimates for pricing signal. It never edits, deletes, or creates anything in QuickBooks here.
  • It's automatic. No import button — connecting is the action. The reading happens in the background and refreshes over time as new invoices land.
  • It takes a little while to show up. Reading, learning, and making your history searchable runs as background steps, so the first quotes after connecting get smarter over the following hours, not the same second.
  • The more history you have, the better the start. A shop with two years of invoices gets a sharper cold start than one with two weeks.

Troubleshooting

  • New quotes don't seem to use my history yet. Mining runs in the background after you connect — give it some time. Confirm QuickBooks shows Connected in Settings → Connections and that your plan is Business or Pro.
  • I'm on Free and nothing's happening. History mining is a Business/Pro feature. Your invoices wait safely until you upgrade — then your history lights up.
  • QuickBooks shows "Reconnect required." Your authorization lapsed on Intuit's side. Reconnect from the QuickBooks card; mining resumes after.

FAQ

  • Does this change my QuickBooks? No. It only reads invoices and estimates for pricing signal.
  • Do I have to upload anything? No. Connecting QuickBooks is the whole step.
  • Which plan do I need? Business or Pro — that's what turns on the history reading.
  • How far back does it read? It pulls your invoices and estimates, then keeps up with new ones over time.
  • What if I only want a one-time file import instead? Use docs/import/spreadsheet.
