Attach files & photos to a quote

Overview

Drop photos, drawings, and PDFs onto a job so everything for that deal lives in one place — the part photo, the spec sheet, the customer's reference shot. CAD & STEP drawings (STEP, IGES, DWG, DXF) are read on every plan, including Free — Setell pulls the geometry into your quote. On Business and Pro, Setell also reads images and PDFs and uses what it finds. You decide which files the customer sees.

What you can attach, by plan

  • Free: images, PDFs, and CAD & engineering drawings (STEP, IGES, DWG, DXF) — up to 3 files per job. Setell reads your drawings on every plan.
  • Business: unlimited files, every common type (Word, Excel, text, audio, and more), and Setell reads images, PDFs, and voice notes too, to help with quoting.
  • Pro: everything in Business, plus automatic revision suggestions when a customer sends an updated drawing.
CAD & STEP drawings are free on every plan. Send us the part file — STEP, IGES, DWG, or DXF — and Setell reads the geometry (dimensions, volume, weight) into your quote, on Free, Business, and Pro alike. It's the front door for machine shops and anyone who works from CAD.
Reading images and PDFs (Business and Pro). On Free, _images and PDFs_ are stored but not read — they're attachments, nothing more. On Business and Pro, Setell also looks inside an image or PDF and pulls useful details into your quote. (CAD drawings are the exception — those are read on every plan, including Free.)
Voice notes (Business and Pro). Walk the site, record a voice memo, attach it to the job — MP3, M4A (iPhone Voice Memos), WAV, OGG, or WebM. Setell transcribes it and treats the transcript exactly like a spec sheet: what you said on the walkthrough feeds the very first draft. On Free, audio files are stored but not transcribed.

Steps

  1. Open the job. In the Files panel, choose a kind (Scoping, Supporting, Deliverable, or Kickoff), then click Upload — or just drag files onto the panel.
  2. The file lands in the list with a small label showing who added it — You, Customer, or Email.
  3. To let the customer see a file, flip its Share toggle on. Off means it stays private to you.
  4. Download any file anytime, or delete one you don't need.
On site? Use Field capture. Open the job on your phone and tap Field capture (top of the Files panel). You get a one-thumb surface built for walkthroughs: take photos, record a voice note, jot a quick text note — and when you're done, draft the quote right there. Everything captured on site stays private to you until you share it. Once the quote is ready, tap Present to customer and hand them your phone — they review it, sign, and pay the deposit in their Deal Room before you leave the driveway.

What happens next

  • On Business and Pro, an image or PDF shows Parsed once Setell has read it — meaning its contents are available to help with the quote.
  • If readable files are already on the job when you draft — say, a part photo or spec sheet that came in with the customer's email — Setell factors what it read into the very first quote, not just later revisions.
  • Files marked Share appear in the customer's deal room; everything else stays on your side.
  • Deleted a file by accident? It can be restored within 30 days.

Troubleshooting

  • "Free plan supports images, PDFs, and CAD/drawing files." You tried to upload a Word, Excel, or text file on Free. Upgrade to Business for all file types, or send it as a PDF. (Images, PDFs, and CAD/STEP drawings work on Free.)
  • "Free plan allows 3 attachments per job." You've hit the per-job limit. Upgrade to Business for unlimited, or remove a file you don't need.
  • My STEP/CAD file won't upload. Setell accepts STEP, IGES, DWG, and DXF on every plan. Make sure the file has the right extension (.step, .stp, .iges, .igs, .dxf, .dwg) — some browsers and email clients strip the file type, and the extension is how Setell recognizes a drawing.
  • My file won't upload. Setell only accepts safe, common file types and checks each file's real contents. If a file is corrupted or an unsupported type, it's rejected — re-save it as a PDF or image and try again.

FAQ

  • Will my customer see everything I upload? No — only files with Share turned on. Everything else is private to you.
  • Does Setell read every file? CAD & STEP drawings (STEP, IGES, DWG, DXF) are read on every plan, including Free. Images, PDFs, and voice notes are read on Business and Pro; on Free those are stored but not read.
  • Can I quote from a voice memo? Yes — on Business and Pro, record a walkthrough on your phone, attach it (or email it to your intake address), and the transcript feeds the next draft. Keep recordings under roughly 20 minutes; very long files are stored without transcription.
  • Can I send STEP/CAD files on the free plan? Yes. STEP, IGES, DWG, and DXF are welcome on every plan — it's the front door for machine shops. Free is limited to 3 files per job; upgrade to Business for unlimited.
  • What are the "kinds" for? They just help you organize — Scoping (input for the quote), Supporting, Deliverable (what you hand over), and Kickoff.
  • Can the customer upload files too? Yes — files they send show up here labeled Customer.
