Hand the job to your crew

Overview

The quote is agreed. Now somebody has to build it, and that person usually wasn't in the email thread.

Generate Job Kickoff turns the deal into a handover document: one PDF that freezes what was agreed — the exact quote version the customer accepted, line by line, with your payment terms and the notes and photos you collected while scoping it. Setell emails it to you and to whichever crew members you pick.

It's the answer to "what did we actually sell them?" three weeks later, when the thread is buried and somebody is standing on the job.

Before you start

  • A job the customer has accepted or signed. The button doesn't appear before that — there's nothing agreed to hand over yet.
  • Optional: crew contacts saved, so you can tick names instead of typing addresses. You can add them from inside the same window.

Save your crew

Crew contacts are people you CC on kickoffs — a foreman, a sub, a project manager, whoever needs the packet.

  1. On an accepted job, click Generate Job Kickoff.
  2. Click Manage crew.
  3. Add a name and email. Repeat for anyone else.

They're saved to your account, not to the job, so you set them up once and they're there on every job after.

Generate and send it

  1. Open the job and click Generate Job Kickoff.
  2. Tick the crew members who should get it.
  3. Decide whether to tick Send to customer too. This is off by default — the packet is an internal handover, and it shows your line-item pricing. Leave it off unless you want the customer to have a copy.
  4. Click Generate.

Setell builds the PDF, files it on the job, and emails it out. You get a confirmation saying how many people it reached.

The kickoff is a snapshot, not a live view. It freezes the quote version that was agreed. Revise the quote afterwards and the kickoff doesn't change — generate a new one.

What's in the packet

  • Your branding — your logo, your colour, your company details at the top.
  • The customer — name, company, and email.
  • What was agreed — the accepted quote's version number, every line item with quantity, unit, unit price and line total, the total, and any notes on the quote.
  • The scoping inputs — the files that fed the quote: site photos, drawings, spec sheets, walkthrough notes.
  • The commitments — your payment terms.

What happens next

  • The PDF is filed on the job as a Kickoff file, alongside everything else (docs/quotes/attachments). You can download or re-share it any time.
  • If you've connected Slack, the kickoff is posted to your channel too (docs/integrations/slack).
  • Generating a kickoff doesn't change the job's stage and doesn't contact the customer unless you ticked that box.

Ask Setell instead

In Studio: "send the crew the kickoff for the bracket job." Setell generates the same packet and emails the same people. Naming who should get it works too — "and copy Dave."

Troubleshooting

  • No Generate Job Kickoff button. The job isn't accepted or signed yet. The button appears once the customer has agreed.
  • "No crew contacts yet." Nobody's saved. Click Manage crew and add one, or generate it for yourself and forward it.
  • The email didn't arrive. The PDF is generated and filed regardless of whether the email got through — check the job's Files panel, and check the address on the crew contact. A bad address doesn't lose the document.
  • The prices are wrong. The packet snapshots the quote the customer agreed to. If you revised it afterwards, generate a new kickoff.

FAQ

  • Does it cost a quote credit? No. It's built from a quote that already exists; nothing is drafted.
  • Should I send it to the customer? Usually no. It shows your unit prices and your internal scoping notes. The customer already has the quote in their Deal Room (docs/deal-room/overview).
  • Can I generate it more than once? Yes. Each one is filed separately, so you can hand over a fresh packet after a change order.
  • Do crew members need a Setell account? No. They get an email with a PDF.
