Quote view & approval

Overview

This is the first thing your customer does in the Deal Room: open the quote, read it, and either approve it or ask for changes. It's not a flat PDF — they tap a button right on the page. The moment they do, your job moves forward in your pipeline.

What your customer sees

  • The quote, branded as you, with a clear total and line items.
  • A short note up top: "this isn't just a PDF, it's interactive."
  • Two buttons: Approve Quote and Request Changes.
  • A v1 badge with the date you sent it, so they always know they're looking at the latest version.

How approval works (what your customer does)

  1. They open the Deal Room link and read the Quote tab.
  2. To accept, they click Approve Quote, then confirm in the Approve this quote? box.
  3. They see a Quote approved! 🎉 confirmation right on the page.

If they want changes instead:

  1. They click Request Changes and type what they'd like.
  2. You get the request, revise the quote (a new version), and resend — the same link shows the newest one.

What happens next on your side

  • Approved → the job moves to Accepted in your pipeline. If e-signature is on, the next step (signing) appears for the customer.
  • Changes requested → the job moves to Revising, and the customer's note lands with the job so you know exactly what to change.
  • You don't have to refresh and wonder — the status updates on its own.

Good to know

  • There's no customer-facing "decline" button on the quote, on purpose. A one-click walk-away loses deals that would've just needed a small change. If a customer truly walks, you can mark the job rejected yourself.
  • The quote can have an expiry date. If it lapses before they act, they see an Expired notice and a prompt to contact you.

Troubleshooting

  • Customer says the buttons don't do anything. Make sure they're on the latest link. If you revised the quote, the old version shows as superseded — resend so they land on the current one.
  • They approved but the job didn't move. Give it a moment, then refresh your jobs list. If it's still stuck, check the job's Activity/Timeline for the approval event.
  • They say "it expired." The quote passed its valid-until date. Recall isn't needed — just send a fresh quote and they'll get a new link.

FAQ

  • Does my customer need an account? No. They just open the link.
  • Can they approve from their phone? Yes — the Deal Room works on phones.
  • What if they ask for changes after approving? They can message you (Pro) or reply to the email; you revise and resend a new version.
  • Will I know when they viewed it? Yes — opens are tracked and show in the job.
