Connect QuickBooks

Business+

Overview

Connect QuickBooks once and Setell keeps your books in step automatically — invoices you create in Setell flow into QuickBooks, and payments flow back so a paid job updates itself. Connecting also lets Setell learn from your past invoices, so your pricing starts smart instead of from zero.

On Setell, QuickBooks is a Business and Pro feature. Free accounts can connect later after upgrading.

Before you start

  • A QuickBooks Online account you can sign in to (you'll approve access on Intuit's site).
  • A Setell Business or Pro plan.
  • 2 minutes.

Steps

  1. Go to Settings → Connections.
  2. Find the QuickBooks card and click Connect to QuickBooks.
  3. You're sent to Intuit's sign-in. Sign in and choose the company file you want to connect.
  4. Review what Setell will access and click Connect / Authorize on Intuit's screen.
  5. You land back in Setell. The QuickBooks card now reads Connected.

What happens next

  • New invoices sync out. When a job reaches Invoiced, Setell creates the matching invoice in QuickBooks (matching the customer, creating it if new).
  • Payments sync back. When the invoice is paid, the job moves to Paid automatically — no double entry.
  • Your history becomes pricing signal. Setell reads your recent invoices to warm-start its pricing suggestions on your next quotes.
  • You can disconnect anytime from the same card (Disconnect); that stops syncing and revokes access.

Troubleshooting

  • Card says "Reconnect required." Your QuickBooks authorization expired or was revoked on Intuit's side. Click Reconnect and re-approve. Your data is safe; only the connection lapsed.
  • An invoice didn't appear in QuickBooks. Confirm the job actually reached Invoiced in Setell, and that your plan is Business or Pro. If both are true and it's still missing, the sync is retried automatically — check again shortly; persistent misses are logged for support.
  • "Already connected to another account." That QuickBooks company is connected to a different Setell account. The owning account must Disconnect first before you can connect it here.

FAQ

  • Does connecting change anything in my QuickBooks? No. Setell only creates invoices when you invoice a job, and reads past invoices for pricing. It never edits or deletes your existing data.
  • Which plan do I need? Business connects invoices + customers. Pro unlocks the fuller object sync.
  • Can I connect more than one company file? One QuickBooks company per Setell account.
  • Will it import all my old invoices? It reads recent history for pricing signal; for a full historical import see docs/import/quickbooks-history.
