Choose your document types

Overview

Setell can produce three kinds of customer-facing document:

  • Quote — fast, line-item, price-forward. The default, and the one most jobs use.
  • Proposal — the long format: scope, approach, then line items. See docs/quotes/proposals.
  • Estimate — the same shape as a quote, but the word matters: in some trades "estimate" is a non-binding figure and "quote" is a fixed price you're held to.

All three are available out of the box. Document Stages is where you turn off the ones you don't use, so the job page stops offering them.

Pick the word your trade uses. Quote and estimate are the same document to Setell and different documents to a customer — and in some trades, to a court.

Before you start

  • Nothing to set up, and it's on every plan.
  • Worth two minutes during setup: it takes clutter off every job page from then on.

Turn stages on and off

  1. Open Settings and scroll to Document Stages.
  2. Tick the stages your workflow uses; untick the ones it doesn't.
  3. Each change saves on its own — there's no separate Save button.

Quote can't be turned off. Its checkbox is marked Required and stays locked, because your customers need at least one kind of document to receive.

What happens next

  • On a job, the document-type picker only offers the stages you left on.
  • Turning a stage off doesn't touch documents you already sent. Sent documents are versions and never change.
  • Turn one back on and it reappears in the picker straight away.
  • Nothing here changes how a document looks — that's your template and branding (docs/branding/templates).

Troubleshooting

  • I can't untick Quote. By design. It's the one document type every account keeps.
  • A job still offers a type I turned off. Refresh the job page — the picker reads your settings when the page loads.
  • I turned Proposal off and lost my proposals. You didn't. Existing proposals are still on their jobs; the stage only controls what you can create from here.

FAQ

  • Which should I use — quote or estimate? Whichever your trade and your customers expect. Setell builds them the same way; the difference is the word on the document and what it commits you to.
  • Do I have to pick just one? No. Leave on as many as you use.
  • Does turning Proposal on make Setell write proposals by itself? No. Setell never generates a proposal unless you ask for one. See docs/quotes/proposals.
  • Does the customer see the stage name? They see the document they're sent, headed with its type. They never see this setting.
