Tax on quotes (GST, VAT, sales tax)

Overview

Your quote prices are entered before tax. Setell adds a tax line on top, at the rate you set, and shows the total with tax. The same numbers appear on the PDF, the Word document, the Deal Room your customer opens, and the quote or invoice Setell sends to Xero or QuickBooks.

You choose the name of the tax line. If you leave it blank, Setell uses the usual name for your country: GST in Australia, New Zealand, Singapore, India and Canada, VAT in the UK, Ireland and the EU, and Tax everywhere else.

When a customer does not pay tax, you can remove it from that one quote.

Before you start

Nothing required. This works on every plan.

Set your tax rate and tax line name

  1. Go to Settings and find the Tax on quotes card.
  2. Enter your rate in Tax rate (%). For Australian GST, enter 10.
  3. Optional: type a name in Tax line name, for example GST. Leave it blank to use the default for your country.
  4. Check the preview line under the fields. It shows what your quotes will say, for example GST (10%).
  5. Click Save.

You can also set both from Studio (ask set my tax rate to 10% and call it GST) or from an AI agent connected through MCP (the shop profile tools).

Remove tax from one quote

  1. Open the job.
  2. Next to the deposit setting, turn off Charge GST (the switch uses your tax line name).
  3. The quote now shows no tax line, and the total equals the subtotal.

Turn the switch back on to add tax again.

You can do the same from the Setell field app on the job screen, from Studio (ask remove GST from this quote), or from an AI agent through MCP.

You can only change tax on a draft. If the quote is already sent or accepted, the switch is greyed out with Revise the quote to change GST. Create a revision, then change tax on the new draft. Your customer never sees a price change on a quote they already have.

What happens next

  • PDF and Word document: show the subtotal, the tax line (for example GST (10%)), and the total with tax.
  • Deal Room: shows the same breakdown. A percentage deposit is worked out on the total with tax.
  • Xero: quotes and invoices are sent tax-exclusive, and Setell picks the tax rate in your Xero organisation that matches your Setell rate. A quote with tax removed is sent with no tax.
  • QuickBooks: invoices for companies outside the US use the matching tax code. A quote with tax removed is sent with no tax.
  • Older quotes: each quote keeps the rate it was created with. Changing your rate in Settings later does not change quotes you already sent.

Troubleshooting

  • My quotes show "Tax", not "GST". Type GST in Tax line name under Settings, then Save.
  • No tax line shows on my quotes. Your Tax rate (%) is 0. Set your rate and save.
  • The Charge GST switch is greyed out. The quote is not a draft. Revise the quote, then use the switch on the new draft.
  • Xero shows a different tax amount. Check that your Xero organisation has an active sales tax rate equal to your Setell rate (for example 10% GST on Income). If none matches, Xero uses the default tax rate on the account.
  • Still stuck → docs/reference/troubleshooting.

FAQ

  • Do I enter prices with or without tax? Without. Setell adds tax on top.
  • Can I use a name other than GST or VAT? Yes. Type any name up to 20 characters in Tax line name.
  • Does removing tax from one quote change my other quotes? No. It changes only that quote.
  • Does my deposit include tax? Yes. A percentage deposit is worked out on the total with tax. On a quote with tax removed, it is worked out on the total without tax.
  • Will the switch show if my rate is 0? No. It shows only when you charge tax.
