Connect Gmail

Overview

Connect Gmail and Setell watches your inbox for quote requests. A customer emails you the way they always have, and the request shows up in your Setell Inbox ready to approve — no forwarding rule to set up, nothing for your customer to do differently.

The connection is read-only. Setell asks Google for permission to read mail and nothing else. It never sends from your mailbox, never replies, never files, never deletes, never touches a draft.

Your quotes still go out through Setell — its sending domain, or your own verified one. Connecting Gmail only lets Setell see what arrives. See docs/integrations/sending-domain.

Before you start

  • A Google account you can sign in to. Works with personal Gmail and Google Workspace.
  • It's on every plan, including Free.
  • Nothing else. This replaces the forwarding-address setup, it doesn't need it.

Connect it

  1. Go to Settings and find the Gmail card.
  2. Click Sign in with Google.
  3. Pick the account whose inbox you want Setell to read, and approve on Google's screen.
  4. You land back in Settings and the card reads Connected as your address.

What Setell reads

  • Mail in your inbox, from the day you connect forward. It doesn't go back through your archive.
  • Attachments on those emails ride along and become part of the job — a drawing, a spec, a photo. See docs/quotes/attachments.
  • Everything it finds lands in your Setell Inbox as a pending item you approve or reject. Nothing becomes a job on its own unless you've set it to. See docs/quotes/inbox-triage.

Mail you archive, label, or delete in Gmail is yours — Setell doesn't act on your mailbox at all.

Disconnect

Click Disconnect on the same Gmail card. Setell stops reading immediately. Jobs and quotes already created stay exactly where they are; only the inbound connection ends. You can also revoke Setell from your Google account security page — Setell notices and shows Reconnect required.

What happens next

  • Google tells Setell as soon as mail lands, and Setell picks it up shortly after — it isn't instant, but you don't have to go looking.
  • Approve one and it becomes a job that starts drafting. See docs/quotes/draft-quote.
  • Gmail and Microsoft 365 are peers — same pipeline, same destination. You don't need both. See docs/integrations/microsoft-365.

Troubleshooting

  • The card says "Reconnect required". The connection lapsed and Setell says why: token refresh failed, access revoked on Google, or token expired. Click Reconnect and approve again. Nothing is lost — only the connection dropped. Do this promptly: while it's disconnected, no new mail reaches Setell.
  • "This email is already connected to another Setell account." That Google account is connected somewhere else. The account that owns it has to Disconnect first.
  • Connected, but nothing arrives. Setell reads mail that lands in your inbox from the day you connected. A filter that skips the inbox, or a request older than the connection, won't be picked up. Forward one to yourself as a test.
  • I don't want Setell reading my whole inbox. Use a forwarding address instead — you control exactly what reaches Setell. See docs/getting-started/email-intake.

FAQ

  • Can Setell send email from my Gmail? No. The permission Setell holds is read-only; there is no send access to use. Outbound goes through Setell.
  • Which plan do I need? None in particular — Gmail connects on every plan, including Free.
  • Does it read mail that isn't a quote request? It looks at inbox mail to find requests, and only requests become Inbox items. Everything else is ignored.
  • Gmail or forwarding — which should I use? Gmail is less setup and catches everything. A forwarding address gives you tighter control over what Setell sees. Both feed the same pipeline.
  • Can I connect two mailboxes? One Gmail account per Setell account.
